Setup Procedures
I. Set-Up (Saturday Afternoon) Obtain supplies from the metal cabinet in the Hall of Saints. It is closed with a pad lock.
The closet contains the following:

If any additional supplies are needed, they are located in the Hospitality Closet. There is also an inventory sheet in the closet that can be completed if additional supplies are needed.
- Clear tables of plants, place at the end of the Hall of Saints. Wipe down two long tables with pop up wipes. Place all liquids (coffee, juice, hot water) & cups on the table closer to the front of the church and one napkin container and two round serving platters on the other table where the donuts will go.
- Fill the large 55-cup coffee pot from the faucet outside next to the rectory door. (Use key for outside faucet). Add 4 scoops (1/4 lb) 55-cup pot. Make sure that the coffee pot switch is on and leave the plug dangling by the outlet. The priest serving the 7am mass will plug it in.)
- Fill the smaller pot with water from outside faucet. Place next to large coffee pot. Leave the plug dangling by the outlet.
- Check that liners are in the two wastebaskets or place them in and set wastebaskets at the end of each table.
- Place a set of envelopes marked with the time of mass into the one of the two donation cans.(i.e. one can should have 2 envelopes -one marked with the time of each mass) Place a donation can on each table.
- Place one cooler under first table. The foam coolers are located in the closet by the Blessed Sacrament Chapel. Use the same key from inside metal cabinet to open.
II. Donut & Supply Delivery
- Donuts are purchased from Safeway in Millbrae 697-9514 x1, contact Ringo/Rosario. Pick up donuts any time after 6am. 10 dozen donuts - should be all cut in half, usually 3 large boxes.
- Also pick up OJ and half and half at grocery store - 3 gallons OJ (cheapest available) and 2 pints half and half.
- Write name on receipt and place in "RECEIPT" envelope in metal cabinet. The receipts will be collected and submitted for reimbursement.
- Make sure large pot is percolating by 8:05, plug in hot water pot.
- Generally we use about 1/4 of the donuts for the mass, and the rest for the 10:00 mass. Place the donuts on two serving platters (using disposable gloves from cabinet) on far table. Set aside boxes for the mass under donut table.
III. 8:30 & 10:00 Mass
Please allow enough time to quickly check the tables to ensure that supplies and refreshments are nicely placed on the tables. Immediately after the blessing, go to the Hall of Saints (you can fill the two pump pots with coffee and two carafes with hot water if you like or let people take directly from the pot). Welcome fellow parishioners and serve the juice.
After 8:30am mass and coffee time
- Replenish serving platters with donuts and cover with plastic tops or unfolded napkin. Empty leftover boxes in trash outside back of church.
- Replenish other supplies as needed.
- Remove all used cups and napkins from the tables and make sure that all is ready for the next mass.
- Remove the cash from the two donation cans and place it in the envelope marked with the time of the mass, and give it to one of the priests or drop it off in the Rectory.
After 10:00am or Last Mass Clean Up
- Unplug coffee pots immediately so they have time to cool.
- Pick up all supplies and place it in the Hospitality closet, placing the items on the marked shelves. Replenish / re-organize as needed.
- Additional supplies are located in closet across from stairs to choir loft.
- Remove all garbage bags and empty dough nuts boxes and place them in the garbage cans in back of the rectory.
- Rinse the coffee pot at the outside tap & dry with paper towels.
- Place the pot back in the metal cabinet. (Leave pot open to prevent mold.)
- Rinse the carafes in the Ladies Rest Room or the outside tap, dry w/paper towels and return them to the cabinet.
- Put the foam cooler in the closet down by the Blessed Sacrament Chapel in order to keep the Hall of Saints Tidy.
- Depending on what is leftover you can leave out extra donuts on little paper plates for passersby in the Hall of Saints, drop to the Samaritan House in San Mateo, or take home. The priests have all they need and do not want leftovers in rectory.
If we have a lot of donuts left over, please let Susie know so that we order fewer donuts!
Please do not use the rectory kitchen for clean up, as this is the priests’ only area for a quiet breakfast or lunch on Sundays.
The Hospitality closet is located between the Hall of Saints and the vestibule (located across from the stairs to the choir loft). The key is located in the metal cabinet in the Hall of Saints.
